Privacy Policy

1. About this policy
This policy explains how Aged Care Jobs ("we", "us", "our") collects, uses, shares and protects personal information through agedcarejobs.com.au (the "Platform"). We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
2. Information we collect
2.1 Your account
- Your name and email address
- Your password, which we store only in a scrambled (hashed) form that nobody can read
- Your account type: job seeker or learner, employer, recruiter or agency
2.2 Your job seeker profile
- About you: a short summary, your experience level, skills and specialisations, and a profile photo if you add one
- What you are looking for: the roles, locations, employment types, shifts and care settings you are interested in, how far you would travel, whether you would relocate, and when you are available
- Work history: the employers you have worked for, your roles, dates and responsibilities
- Qualifications and credentials, such as registrations and police checks: their names and dates, and any notes you add to a qualification
- Right to work: your right to work in Australia and, if you hold a visa, its type, expiry and any notes you add, such as whether you need sponsorship
- Professional development: the CPD activities, hours and reflections you record
- Other details you choose to add: your phone number, and links such as your LinkedIn profile or portfolio
2.3 Employer information
In this policy, "employers" means any organisation that posts jobs on the Platform, including recruiters and agencies. We collect the organisation's name, description, logo, website and locations; the names and email addresses of the people on its team; its job listings and the progress of applications to them; and its subscription and billing details. Payments are handled by Stripe; we never see or store full card numbers.
2.4 How you use the Platform
- Analytics, only if you accept them: the pages you visit and the links you click, your device type and browser, your country and state, and where you came from, such as a search engine, another website or a social media post, including any campaign tags in the link. You can change your choice at any time with the "Manage Cookies" link in the website footer.
- When you create an account, we record what first brought you to us, such as the website, post or campaign link you arrived from.
- Our emails record whether they are opened and which links are clicked.
- Security: our website and security providers process IP addresses to deliver the site and protect accounts, for example to stop fake sign-ups.
We use our own cookies and similar browser storage to keep you signed in and remember your choices. We do not use third-party advertising or tracking cookies.
2.5 Signing in with Google
If you choose to sign in with Google, Google shares your name, email address and profile picture with us. We use them only to create your account, sign you in and show your name in your account. We do not use information from your Google Account for advertising, we do not sell it, and we do not share it with anyone except as described in this policy. We do not ask for access to your Gmail, contacts, calendar or files. You can disconnect Aged Care Jobs from your Google Account at any time in your Google Account's security settings.
2.6 Launch updates
If you join our list for launch updates, we collect your email address, whether you are a job seeker or an employer if you tell us, and where you came from.
2.7 Aged Care Jobs Academy
If you join the academy, we record your membership (free, or a paid pathway and its cohort), your progress through lessons, drills and checks and the answers you give, your gate sheets and your pod, and what you post in the community. Live sessions are recorded, or may be, including pod hours; your cohort and the academy team can watch a recording for 24 months after your cohort's final session, and recordings never leave the academy. Payment for a pathway is taken by Stripe for the course provider named in the academy terms; we never see your card. If you pay by bank transfer, we keep the payment reference.
2.8 Referrals
Every account has a referral link. If you share yours, we record who joined through it, any rewards you have earned and their status, and your ABN if you give it to us to be paid. If you arrive through someone's link, we remember their code in your browser for 90 days; if you then create an account or enrol, we show them your first name and initial and that you joined or enrolled, and nothing else about you.
3. How we use your information
- To run the Platform: your account, job search, saved jobs, job alerts and applications
- To share your profile with an employer when you apply for their job (section 4)
- To send you account and service emails, job alerts you set up, and news about jobs, features and free resources. Every news email has an unsubscribe link.
- To remind you before your credentials or qualifications expire, if you turn reminders on
- To process employer subscriptions and billing
- To run the academy: your cohort and its sessions, your progress, the community, recordings and your pod
- To pay any referral rewards you have earned
- To measure and improve the Platform, including which posts and campaigns bring people to us
- To keep the Platform secure and to prevent fraud and misuse
4. Applications
When you apply for a job, the employer and the people on their team see your name, summary, availability, preferred work locations, shift and care-setting preferences, specialisations and work history. They also see the right-to-work details, registrations, police check, qualifications and credentials you choose to share, and any message you add to your application. No other employer or job seeker can see it. Our team can access it to run the Platform and to handle support requests or disputes.
You choose which contact details employers see: email only (the default), email and phone, or phone only. You can change this at any time in your profile, and the change applies to past applications too.
The employer sees your profile as it was when you applied; later edits do not change past applications, except your contact details. If you withdraw an application, the employer sees only your name and that you withdrew.
We keep each application for up to 24 months, in case a hiring decision is later challenged. Sixty days after an application closes, the employer sees only your first name; after 12 months, nothing that identifies you; after 24 months, the application is deleted.
5. Who we share information with
We do not sell your personal information. We share it only:
- With employers, when you apply for their job (section 4)
- With service providers who run parts of the Platform for us and may use it only for that:
- Supabase: our database, file storage and sign-in
- Cloudflare: delivers the website and protects it from misuse
- Resend: sends our emails
- Stripe: processes payments for employer subscriptions and academy pathways
- Zoom: hosts the academy's live sessions
- Trigger.dev: runs background tasks, such as collecting job listings from employer websites
- Sentry: error monitoring, with personal details removed before anything is sent
- Google: if you choose to sign in with Google
- When the law requires it, for example to comply with a court order
6. Where your information is stored
Your personal information is stored in our database in Sydney, Australia, and protected with access controls and encryption. Some of the service providers in section 5 handle information outside Australia, mainly in the United States. We use only providers that protect personal information to a standard similar to the Australian Privacy Principles.
7. Deleting your account
You can delete your account at any time in My Account, Account Controls. For 30 days you can restore it by signing back in. After that we delete your profile and account information, except applications you have already made, which we keep until the end of the period in section 4 and then delete. Deleted information can remain in our encrypted backups for up to 7 days.
8. Access, correction and complaints
You can see and correct your information in your account, and job seekers can download a copy in My Account, Account Controls. You can also ask us for access to, or correction of, any information we hold about you.
If you think we have mishandled your personal information, contact us. We respond to requests and complaints within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
